Email Address mystery

We're using Outlook 2003, IE 6.
I'm just curious to know why there was a change - as I am linking the Outlook folder where these messages are stored to a back end Accessdatabase....and when they come through as they should all things are fine, but when they come through as user1xxxx@trumba.com, it's causing me some headaches, as I can't then cross reference that name.
Again, I really enjoy the product...just hope this can be resolved, as it worked beautifully the other day!

I just want to let you know that I'm looking into this but haven't gotten an answer yet. I'll be back as soon as I do. It might not be til Monday. I'm sorry for the delay, and that this has changed.

Just a small update. It sounds like the way it's behaving is current intentional behavior. However, I still need to get info from the developer for this area about why it changed, and he's currently out of the office. I will post another update sometime before end of day on Wednesday to let you know what new info I can get. I'm sorry for the delay.

I'm afraid I still don't have any additional technical news to send yet, but the developers are looking into this and are going to talk about how to deal with it. They know that the user.xxx idea isn't ideal.
Also, can I clarify one thing? When you see the user.xxx at trumba.com, does it show their name along with the trumba email address, or does it only show the email address? And are you talking about the From field of the message, or is it in the text of the message?
I'm sorry this is taking so long, but know that we haven't forgotten about it!

I can email you a screen shot of what the email I received looked like to clarify, but the From field is where it shows users.xxx@trumba.com; in the body of the message is where it displays their actual email address.
Thanks

Thanks for adding your comments about this. We are following up with development on the issue of exporting the invitation list. They agree that there should be a way to export the name and email address of the people who sign up. (Connie has also logged your suggestion about putting email addresses of people on the invitation tab.)
The user.xxx issue is not as much about security as it is about what domain email is coming from and keeping ourselves from being blacklisted. When someone signs up for or declines an event, when the email is sent, it's sent from Trumba. So if it's coming from Trumba, but we're claiming in the From field that it's coming from the user's domain, it looks suspicious, especially if we're doing it hundreds of times a day.
That's a simplified explanation, mainly because I don't have detailed information about the email routing and blacklisting. But let me know if you have other questions about it.

Unfortunately, countinued testing here is yielding mixed results. SOmetimes they come through with the "correct" email name, followed buy the "user.12345@trumbe.com", and sometimes they are coming through with just the "user.12345@trumbe.com" address. I have checked IE settings to see if there's something there, and I've also considered maybe it's a setting in Outlook, but it's extremely hit and miss.
I know this is not a priority for you - and that's understandable. It's just driving me nuts as to why initially it worked perfectly - albeit only 5 people testing it out.
Anyway, just wanted to update.
Thanks for listening.

No problem, I can see why it'd be kind of frustrating. It'd be really good to know if you can find out what causes just the user.xxx email address to appear without a name. A couple of us have tried numerous things, and we can't get that one to happen. Nonetheless, I'll add your most recent comments to the issue we logged for this.

Any idea if you guys will add the email address of the attendees to the Event Invitation? We would be able to do a quick copy/paste of people who signed up for a class, and at least that's something that would make our work easier when assembling a participant list.

I have talked to the developer about this and know it will happen at some point, but I'm not sure how soon. I'm sorry I don't have any real details to pass along right now. He was able to change email response text, though, so that the the person's email address is paired with his/her name. In other words, if you have the invitation set to email you when someone signs up or RSVPs, the email text will say something like "Persons Name (email address) has accepted your invitation..." It's not the ideal solution, but hopefully one that can help while we're waiting for the better option.

That's an absolutely fine solution. Either the correct email address in the RSVPs or the email address on the Event Invitation tab will work great. Thanks so much!

I can create the repeating event just fine, but I do not want to make employees sign up for each individual class.
I went in and on the 2nd, 3rd and 4th events and unchecked the "Open Invitation" button, which removes the "Sign Up!" button from these dates.
But they do not show up as having registered for the series of events - only on the 1st class.
Is there any way to accomplish this? I am publishing using a Performance Schedule template.....
Thanks in advance

From what I know about creating invitations for a series of events, you need to keep the Sign up button on all of them. When someone clicks the button on any of the events, they can choose how they want to respond to all of the events in the series. I'm sorry that it means that the button has to appear on all of the instances. (If anyone knows otherwise, please correct me.)
Also, when I had an existing recurring event, I couldn't find a way to convert it to an open invitation that would allow me to sign up for all occurrences at the same time. It was only with a new event that I created, and I had to set up the invitation at the same time I set up the event. What I'm getting at is that you might need to recreate your event to get the behavior that allows visitors to sign up for all four classes at once.
I don't know if this will help, but here are a couple related forum topics talking about how others did it.
Multi-day events - best way to handle
Connie's post in topic 795
Let me know if I can clarify anything.

In reading the 1st of the two links above, Connie stated:
"If you publish a calendar using a template such as Classic Week, the Sign Up button still appears on each day of a multi-day event. If you publish using the Performance template, only one Sign Up button is associated with the multi-day event because the multi-day event is presented as one entry in the calendar."
I published using the performance template, and all 4 Sign Up buttons appear - so I'm guessing a multi day event is not the same as a recurring event?
Anyway, I will recreate the classes, republish using the Performance template, and see how that goes.
Thanks for the clarification.

Not dense at all, it's an excellent question as a matter of fact. It's sometimes easy to interchange the terms.
In this case, when Connie says multi-day event, she's talking about an event that starts on one day and lasts every day until the end date. So, for example, an event that starts on Monday, and ends on Friday of that same week (and occurs every day in between). To create a multi-day event, you make an event an all-day event, and then for the duration, specify the number of days or the start and end date. A common use for multi-day events might be a professional conference or tradeshow. In this case, the Sign up button appears on just the first event.
Recurring events are events like the classes you have, where the event itself is only a few hours, or even the whole day, and it happens on several different days, but usually not all in a row. So you are correctly creating a recurring event for your classes, in which case the Sign up button will appear on all four instances.
(Some related info: When you're working with paging and grouping settings for your list-based calendar views, including the Performance template, you'll see a setting that asks you how you want to display multi-day events--either just on the first day they start or on every day they occur. Again, this refers to events that go on for two or more consecutive days.)
I hope that clears up things a bit!

Thanks for the clarification. That defininetly helped the old thought process.
Curious though - when we have a 2 day training class, on say a Wednesday and the very next day Thursday - that runs from 8:00 am to 12:30 pm - can I make this a multi day event, but once it's created, modify the time to match? I have not tried this, just curious.
Thanks again.

If you set an event as All Day, you lose the option to set a specific time. If you don't set the event as all day, you'd have to set the start time on one day and the end time on the next or make it a recurring event. So what I'm getting at with all this hot air is, what you were asking about doesn't seem to be an option. : )
