Hi,
We run an existing PHP system with approx 300 seperate calendars, each managed by a seperate person. So 300 logins / 300 calendars listing events in numerous cities/countries. Is this sort of system available with Trumba and are we able to 'group' calendar views. So for example:

Our site - links to 300 calendars as seperate viewable calendars
Our site - links to groups: events in city 1 / events in city 2
So the user is able to view individual or groups by country / city

Hope this is clear..?
Thanks in advance

Hi chris2224,
It is possible to do this in Trumba, and I'll give the general workflow, assuming you'd have an account for each person (this is not a mandatory requirement, but it makes the explanation easier).

What would make the most sense to me is for each person editing a calendar to share his/her calendar with an admin person, who manages all 300 of them. The editors can share with republish permission, so that the admin can publish all of the calendars with the arrangements you mentioned. What the admin could do is publish a main calendar with all of the others mixed into it. During the publishing process, the admin could add a filter so that users can view events by location. By default users can display and hide the main calendar as well as any that are mixed in.

Alternatively, the admin could publish two versions: one of the main calendar with mixins, and another with the events grouped by location. If you chose this option, I *think* you'd have to publish two different calendars as the main calendar to get the different default views. We can help you more with this if you decide to do it.

By default, if you publish a calendar, it's made public. If you didn't want your info public, you could use a password, and if you wanted, you could also use encrypted URLs to embed it into your secure web site so that users with access to the site wouldn't have to type the password.

To get back to the number of accounts you'd need, ideally you should have one Pro account for each editor. Sharing for editing or republishing isn't available with the free version. Also, if you did have just one or a handful accounts that people shared, you'd have to worry about more than one person being signed in to an account at the same time, which isn't really supported. Finally, 300 calendars in one account is a LOT and might be quite difficult to manage. You might want to create a large number of them in a free trial to see how the management aspect works for you.

I know that some of this explanation might be vague, so feel free to let me know if you want more info about a particular area.

Hi Jill,
Thanks for the response.
What I described is kind of the system we currently use, and we will be needing to add many more calendars, so I am worried that you say 300 is alot. Maybe there is a better way to do this in Trumba, so I will explain what we need...I also assume this will all be on a Pro or 'bespoke' level rather than free.

Our website is like an information hub, detailing events, servicing 'CLIENTS' and 'USERS'.
CLIENTS = the people who post event info
USERS = people who browse our site and client info.

We want our CLIENTS from US / Europe / Asia
To be able to post to a calendar and make edits, etc, but only of their own information.
(we currently have a system where each client has their own calendar)

CLIENTS reside in a particular city, so the calendars need to be viewable by a USER (browsing our website).
They need to be able to filter down from a continent level:
see all calendars in USA
or
see all calendars in USA > New York
or
see all calendars in USA > New York > Brooklyn
or
see all calendars in USA > New York > Brooklyn > client calendar

We need to be able to add new clients very easily
We need to be able as the ADMIN to add to any of the CLIENT calendars
Clients have to log in through our site to edit calendar
Calendars and other pages such SMS have to be 100% brandable by us
Ideally, but not essential, client calendars can carry sub-branding (our branding + client)

There is a whole load of other stuff we would like, etc, but figure this is not the place for that list.
Is it likely Trumba can do this, either in its current release, or a bespoke version.
Is there a phone number or privete email through which requirements / costs can be discussed.
Thanks
Chris

Hi Chris,

Thanks for your interest in using Trumba Calendar for your solution.

We'll have to work through your workflow very carefully since it is quite complex if you decide to proceed.

If you are comfortable emailing support at corp.trumba.com a link to your current site and any additional information, we would love to take a look to understand your workflow and evaluate whether what you are trying to do is possible with our software as it is today or with features we anticipate in 2006.

If you haven't already, please sign up for a free account to try out our publishing process. This will help us do an exploration that is grounded in whether our current functionality feels like a fit to you when you are working with a simple scenario of 2-3 event lists (calendars).

Regards,

Anne / Trumba Support
