So far, I have been a HUGE fan of Trumba, but this afternoon, I ran into something very odd - at least I had never seen this. I have the event set up to send me an email a notification when someone signs up for an event, but when it arrived in my in box, rather than the actual email of the person, it appeared as user.XXXX@trumba.com. Yet several days ago, they came through exactly they input their email address.

We're using Outlook 2003, IE 6.

 

I'm just curious to know why there was a change - as I am linking the Outlook folder where these messages are stored to a back end Accessdatabase....and when they come through as they should all things are fine, but when they come through as user1xxxx@trumba.com, it's causing me some headaches, as I can't then cross reference that name.

 

Again, I really enjoy the product...just hope this can be resolved, as it worked beautifully the other day!

On a somewhat related question, I have created a repeating event that is an open invitation. It's a series of 4 classes on 4 different days.

 

I can create the repeating event just fine, but I do not want to make employees sign up for each individual class.

 

I went in and on the 2nd, 3rd and 4th events and unchecked the "Open Invitation" button, which removes the "Sign Up!" button from these dates.

 

But they do not show up as having registered for the series of events - only on the 1st class.

 

Is there any way to accomplish this? I am publishing using a Performance Schedule template.....

Hi jonrnoh,

From what I know about creating invitations for a series of events, you need to keep the Sign up button on all of them. When someone clicks the button on any of the events, they can choose how they want to respond to all of the events in the series. I'm sorry that it means that the button has to appear on all of the instances. (If anyone knows otherwise, please correct me.)

 

Also, when I had an existing recurring event, I couldn't find a way to convert it to an open invitation that would allow me to sign up for all occurrences at the same time. It was only with a new event that I created, and I had to set up the invitation at the same time I set up the event. What I'm getting at is that you might need to recreate your event to get the behavior that allows visitors to sign up for all four classes at once.

Jill, I am sorry to be so dense, but can you explain the difference between a multi day event and a recurring event?

 

In reading the 1st of the two links above, Connie stated:

 

"If you publish a calendar using a template such as Classic Week, the Sign Up button still appears on each day of a multi-day event. If you publish using the Performance template, only one Sign Up button is associated with the multi-day event because the multi-day event is presented as one entry in the calendar."

 

I published using the performance template, and all 4 Sign Up buttons appear - so I'm guessing a multi day event is not the same as a recurring event?

 

Anyway, I will recreate the classes, republish using the Performance template, and see how that goes.

Hi Jon,

Not dense at all, it's an excellent question as a matter of fact. It's sometimes easy to interchange the terms.

 

In this case, when Connie says multi-day event, she's talking about an event that starts on one day and lasts every day until the end date. So, for example, an event that starts on Monday, and ends on Friday of that same week (and occurs every day in between). To create a multi-day event, you make an event an all-day event, and then for the duration, specify the number of days or the start and end date. A common use for multi-day events might be a professional conference or tradeshow. In this case, the Sign up button appears on just the first event.

 

Recurring events are events like the classes you have, where the event itself is only a few hours, or even the whole day, and it happens on several different days, but usually not all in a row. So you are correctly creating a recurring event for your classes, in which case the Sign up button will appear on all four instances.

 

(Some related info: When you're working with paging and grouping settings for your list-based calendar views, including the Performance template, you'll see a setting that asks you how you want to display multi-day events--either just on the first day they start or on every day they occur. Again, this refers to events that go on for two or more consecutive days.)

 

I hope that clears up things a bit!

Thanks for the clarification. That defininetly helped the old thought process.

 

Curious though - when we have a 2 day training class, on say a Wednesday and the very next day Thursday - that runs from 8:00 am to 12:30 pm - can I make this a multi day event, but once it's created, modify the time to match? I have not tried this, just curious.

Hi jonrnoh,

If you set an event as All Day, you lose the option to set a specific time. If you don't set the event as all day, you'd have to set the start time on one day and the end time on the next or make it a recurring event. So what I'm getting at with all this hot air is, what you were asking about doesn't seem to be an option. : )
